Terms & Conditions
Summary of the most relevant aspects of the Voxial service.
Document updated in 2026.
Voxial is designed exclusively for businesses and professionals (B2B) — clinics, shops, service providers, agencies and any business looking to automate phone answering.
It is not available for personal use or by end consumers.
By subscribing to Voxial, the Client gains access to:
- AI-powered automated phone answering for inbound and outbound calls
- Post-call actions — automatic WhatsApp Business messages, e-mail and notifications to external systems
- Automations and integrations via webhooks and API (CRM, calendars, etc.)
- Knowledge base consulted in real time during conversations
- Reports and logs of all interactions
- Phone number integration — via forwarding your own number, a Voxial virtual number, or a third-party operator number
The exact scope of each Assistant is defined in the agreed Technical Proposal.
Acceptance occurs by clicking "Accept" on the portal or by starting to use the service.
The person who accepts declares they have authority to bind the company they represent.
By default, the Client is responsible for configuring their own Assistant — prompts, scripts, conversation flows and knowledge bases.
When configuring in self-service, the Client is responsible for:
- Configuring the Assistant — prompts, scripts, conversation flows
- Ensuring the content is accurate and lawful
- Complying with data protection legislation towards their end customers
- Keeping access credentials secure
If the Setup Service is contracted, the Voxial team handles the initial configuration based on the materials provided. The Client remains responsible for the accuracy of the content and for meeting legal obligations.
Want us to handle everything? See Setup Service levels in our Pricing Table or contact us.
The following uses are expressly prohibited:
- Sexual or erotic content (zero tolerance for minors)
- Drugs, controlled or illicit substances
- Gambling, casinos and unlicensed games of chance
- Weapons, explosives or military equipment
- Hate speech, harassment, incitement to violence
- Spam, illegal robocalls or campaigns without legal basis
- Disinformation or medical/legal/financial advice without qualification
Sectors such as healthcare, legal, financial services and crypto assets require prior approval.
Voxial must not be the sole channel for emergency situations (e.g. 999/112). Always maintain alternative lines with human answering.
- Prices shown excluding VAT (EU B2B clients with a valid VAT number benefit from Reverse Charge)
- Payment by Visa or Mastercard via Stripe
- Unused minute credits expire at the end of the billing period — non-refundable
- Plan minutes do not include third-party operator telecommunications charges
- Late payment may result in service suspension
AI can make mistakes. Voxial must not be used as the sole decision-making source for high-impact matters (health, law, finance) without human review.
Client content is never used to train AI models, whether proprietary or third-party.
Voxial operates in compliance with the GDPR. Data is hosted on AWS servers in Germany (EU). Certain AI processing may occur outside the EU, always with legal safeguards (Standard Contractual Clauses).
After contract termination, the Client has 30 days to export their data in CSV/JSON format. After that period, data is permanently deleted.
Voxial's maximum liability, under any circumstance, shall not exceed the amount paid by the Client in the 12 months preceding the incident.
Voxial is not liable for lost profits, reputational damages or errors caused by the Client's own configurations.
Duration and renewal conditions are set out in the Technical Proposal.
The General Terms may be updated with a minimum of 30 days' notice — if the Client does not accept the changes, they may cancel without penalty.
These terms are governed by Portuguese law. For disputes, the courts of Caldas da Rainha shall have jurisdiction.
The parties may, by agreement, resort to mediation or arbitration.
